Laura Boatman trading as The Art of Transformation (ABN 37 753 890 104) ("we", "us", "our") respects your privacy. This policy explains how we collect, use, store and protect your personal information.
1. Our commitment
We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth) and, for health information, the Health Records and Information Privacy Act 2002 (NSW). For clients outside Australia, we also take guidance from international standards such as the GDPR.
2. What we collect
Depending on the services you use, we may collect:
- Contact and booking details: your name, email address, phone number and booking history
- Birth details: your date, time and place of birth, and your full birth name for Numerology
- Children's details: a child's name and birth details, provided by their parent or guardian for Parent readings and New Baby Human Design Reports
- Business details: your business's launch or registration details, for business readings
- Health information: for Root Cause Health Coaching, information about your symptoms, medical history and emotional history, collected through your intake form and sessions
- Session notes and, where you request them, session recordings
- Your communications with us, feedback and testimonials
- Website data: standard analytics such as browser type, device, IP address and pages visited
Payments are processed by Stripe. We do not see or store your full card details.
3. Health information
Health information is sensitive information under Australian privacy law, and we treat it with extra care. We only collect it with your consent, which you give when you complete your intake form, and only use it to provide your health coaching. It is never used for marketing.
4. How we collect your information
We collect information directly from you when you book a session, complete an intake form, purchase a product, sign up to our emails, use our free tools (such as our Human Design chart or Numerology calculator) or contact us. We may also receive information through the platforms you book or pay through, such as Acuity Scheduling, Stripe and Bodhi Holistic Hub.
5. How we use your information
We use your information to:
- deliver your sessions, readings, reports and products
- prepare for your sessions
- manage bookings, payments, reminders and customer support
- send you emails and offers, where you have signed up or agreed to receive them (you can unsubscribe at any time using the link in every email)
- improve our services
- meet our legal obligations
6. Use of AI tools
We may use AI tools (such as Claude or ChatGPT) to help with administrative tasks, such as organising information or preparing written materials. Where this involves client information, we remove names, contact details and other identifying information first, so the information cannot be linked back to you. We only use AI providers whose settings or terms ensure content is not used to train their models.
7. Who we share your information with
We never sell your personal information. We only share it with trusted service providers, where needed to run our business and deliver our services:
- Squarespace (website and online shop)
- Acuity Scheduling (bookings and booking forms, including birth details)
- Stripe (payments)
- Kit (email newsletters and sign-ups)
- Zapier (connecting our systems)
- Google Workspace (email, health coaching intake forms, video sessions via Google Meet, and file storage)
- Bodhi Holistic Hub (where you book through that platform)
We may also disclose information where required by law, or where needed to prevent a serious threat to someone's life, health or safety. If our business is sold or restructured, personal information may be transferred to the new owner under the same protections set out in this policy.
8. Overseas storage
Several of our service providers store data overseas, mainly in the United States. We take reasonable steps to make sure these providers protect your information in line with Australian privacy standards.
9. How we keep your information secure
Your information is stored in secure, password-protected accounts, and access is restricted to Laura Boatman. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
10. How long we keep your information
Client records, including intake forms and session notes, are kept for seven years after your last session. Where a client was under 18 at the time, records are kept until they turn 25. These periods follow the record-keeping requirements for health information in New South Wales. After this time, records are securely deleted.
Marketing information is kept until you unsubscribe.
11. Accessing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it, at any time by emailing laura@theartoftransformationcoaching.com. There is no charge to make a request. We will respond within 30 days. If we cannot give you access, for a reason permitted by law, we will explain why.
You can also ask us to delete your information, subject to the record-keeping requirements above.
12. Data breaches
If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner, as required under the Notifiable Data Breaches scheme.
13. Website, cookies and analytics
Our website uses cookies and similar technologies to understand how visitors use the site and to improve your experience. We may use advertising tools, such as Google Ads, which use cookies or tracking pixels. You can disable cookies in your browser settings, although some parts of the site may not work as intended.
Our website may link to third-party websites. We are not responsible for their privacy practices, so please review their policies separately.
14. Complaints
If you have a concern about how we have handled your personal information, please contact laura@theartoftransformationcoaching.com and we will respond within 30 days.
15. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page, with the date it was last updated.
